Workspace structure
Every company in Facta-Z has its own workspace: customers, catalog items, document numbering, and settings stay scoped to that company. Switch companies from the dashboard sidebar when you manage more than one legal entity.
Customers and catalog first
Create customer records with billing details before you issue documents. Add products or services to the catalog so line items stay consistent across quotes and invoices. Accurate master data reduces corrections later and keeps PDFs credible for your clients.
Draft → review → issue
Start from a new invoice draft, add lines from the catalog or as one-offs, and use live preview before you finalize. Numbering, tax treatment, and appearance follow the rules configured under Settings → Invoicing. When the draft matches what you intend to send, issue the invoice to lock the document identity used on PDFs and payment links.
Quotes and credit notes
Quotes help you agree terms before billing. Credit notes adjust or cancel all or part of an invoice while preserving an audit trail. Both document types share the same preview and export patterns as invoices so your customer-facing materials stay consistent.
Status and follow-up
Track whether an invoice is draft, sent, partially paid, paid, or overdue from the invoice list and detail views. Payment events update status when customers pay through your online payment page or when you record payment manually. Use automatic reminders and follow-ups when you want structured nudges without leaving the workspace.
PDF, verification, and exports
Download PDF copies for email or archival use. Public verification links let recipients confirm document authenticity without signing in. When exports are enabled for your workspace, package listings and documents for accountants from Extras → Exports.
